Keep charges and payments separate
Milk delivered and money received are different records. A delivery increases the customer’s charges; a payment reduces the amount due. Save the date and amount of each receipt so the balance can be explained later. Do not mark an entire bill as paid when only part of the amount arrived. If you record a payment in Milk walla, it is a bookkeeping entry; the entry itself does not transfer money or confirm that a bank transaction cleared.
Example: receiving a partial payment
If a customer owes ₹1,800 and pays ₹700, record a receipt of ₹700 and keep ₹1,100 outstanding. If another ₹500 arrives later, record that as a separate receipt; the balance becomes ₹600. These figures illustrate the calculation only. Verify opening amounts and corrections before deciding what is due. An overpayment should not be treated as unpaid milk charges. Look at the customer’s full payment history rather than relying only on a single monthly total.
Follow up with a clear reminder
A useful payment reminder states the billing period, recorded charges, payments received, and balance. Check the mobile number and statement before sharing. Milk walla can open a prepared reminder in WhatsApp for you to review and send. A reminder is not proof of payment or delivery, and sending repeated messages does not replace resolving a disputed entry. If the customer reports a difference, compare the relevant delivery and payment dates first.
